Scheduling Specialist


The Scheduling Specialist will have multifaceted job responsibilities to assure staff visit patients according to frequency on the plan of care and to provide support for office staff and field staff. Maximize efficiency by scheduling visits within a geographic region while also matching staff skills and personalities to patient needs.

  • Computer literate
  • Ability to prioritize tasks, handle pressure, and delicate situations
  • Demonstrates confidentiality of all records; does not disclose information to unauthorized individuals
  • Strong attention to detail and ability to follow up on unfinished tasks, open schedules and client/staff concerns
  • Proficient at computer scheduling and dealing with multiple tasks
  • Ability to maintain HIPAA compliance and use of discretion in decision making
  • Self-motivated, industrious, organized and efficient with excellent time management skills and good project coordination skills
  • Ability to develop and maintain a rapport with staff and clients
  • Personal car for travel and a valid driver license
  • Valid personal auto liability insurance coverage


  • Ensuring customer service satisfaction through follow up with patients and employees. Scheduling staff with best fit of skills and personality to ensure patient and staff satisfaction
  • Ability to plan and be proactive in scheduling with continuity of staff and maximizing staff efficiency
  • Filing, mailing, and other clerical duties as assigned
  • Keeps office informed of staffing needs
  • Coordinates all aspects of daily scheduling. Ensure all cases are fully staffed in a timely and efficient manner
  • Participate in weekly or as scheduled staff meetings
  • Provide reminder calls to staff and clients on an as-needed basis to ensure smooth schedules for both staff and clients
  • Proficient at scheduling in most efficient manner for time worked and miles driven
  • Assists with maintaining and updating call schedules
  • Assists with coordination of orientation of new staff members by explaining the scheduling process and assigning “ride-along” visits
  • Must exercise utmost diplomacy and tact to provide excellent customer service for patients; practices confidentiality and privacy protocols in accordance to Company policies and HIPAA requirements
  • Perform all other duties as assigned


  • Requires full range of body motion, manual and finger dexterity and eye-hand coordination
  • Requires ability to lift and carry up to 20 pounds
  • Requires corrected vision and hearing to normal range to record, prepare and communicate appropriate reports
  • Requires working under stressful conditions and working irregular hours
  • Sitting at desk at intervals throughout shift
  • Opening/closing of file drawers
  • Data entry into computer at intervals throughout shift
  • Ability to lift 50 lbs regularly
  • Able to bend, stoop, squat at intervals throughout the day
  • Regular phone use for both inbound and outbound calls
  • Good physical and mental health
  • Requires corrected vision and hearing to normal range to record, prepare, and communicate appropriate reports
  • Has the emotional and mental maturity necessary for establishing and maintaining a good work relationship with the patient, patient’s family and the personnel of Physician Housecalls


  • Reports to the Operations Manager or other Administrators as assigned
